What is wedding day coordination anyway?

If you’re a bride and completely lost as to what wedding coordination even is… then that’s something we need to fix. To help you better understand, below are the tasks that we typically assist with. Coordination details will vary depending on your specific wedding needs and if you need help with something but do not see it listed below, please don’t hesitate to ask. This is just a general guide.

rehearsal assistance and direction | can include

  • introduction to bridal party, officiant, family and other VIP ceremony participants
  • assist in lining up family members and bridal party for processional, ceremony, recessional and receiving line
  • review with ushers proper traditions and etiquette
  • answer any questions regarding the flow of the ceremony
  • assist any ceremony participants with their roles and responsibilities
  • answer any questions regarding the wedding day

coordination of ceremony events | can include

  • oversee set up of any rental items on the wedding day
  • confirm transportation for bridal party and out-of-town guests
  • coordinate arrival times for vendors and bridal party (including bride and groom)
  • place small items and ensure items are ready (programs, exit favors, altar items, etc.)
  • greet guests and advise ushers on seating
  • confirm readers and other ceremony participants are prepared and comfortable with their responsibilities
  • distribute boutonnieres and personal flowers
  • confirm all musical cues with musicians
  • confirm Best Man has rings
  • distribute any remaining payment envelopes
  • line up bridal party and family members for processional
  • ensure officiant and musicians are ready to begin
  • oversee ceremony and assist any late-arriving guests
  • assist family and bridal party with receiving line
  • help distribute exit favors and instructions to guests
  • gather belongings for safe keeping (marriage license, unity candles, etc.)
  • assist photographer with family portraits

coordination of celebration/reception events | can include

  • oversee set up of any rental items on the wedding day
  • serve as point person for vendors and creative professionals
  • place small items and ensure items are ready (place cards, guest book, menu cards, table numbers, etc.)
  • oversee set up of any floral decor and installation
  • assist guests with gifts and finding place cards/table assignment
  • assist DJ with lining up bridal party and family for introductions
  • advise toast givers with when they will speak and where to go
  • coordinate with bridal party, family, DJ and vendors on all traditional dances (first dance, parents dances, etc.)
  • ensure bride and groom has everything needed for dinner
  • coordinate vendor meals so all creative professionals have sufficient time to eat and get back to activities
  • assist with cake cutting ceremony and ensure all needed items are placed prior to
  • coordinate all other formalities and events throughout the reception (bouquet toss, garter toss, money dance, etc.)
  • place gifts/cards in designated vehicle/area along with other small belongings (champagne flutes, guest book, etc.)
  • prep and coordinate end-of-night send off
